Department of Administrative and financial affairs

The Department of Administrative and Financial Affairs focuses on completing and overseeing administrative transactions using the administrative communications system. They also handle administrative and financial requests related to the staff of the deanship, following established procedures. Another critical responsibility of this department is to monitor the budget preparation and the creation of periodic and annual financial reports. Additionally, they provide necessary resources for all departments and units of the deanship, whether in the main branch in the city of Arar or its branches. The department prioritizes continuous monitoring of work progress and evaluates the performance of the deanship staff. Moreover, the department is responsible for managing all depots owned by the deanship. This includes conducting regular inventory checks, reviewing data on technical assets using the designated system, receiving technical equipment or software imports from contracted companies in the field of information technology, and ensuring the proper handover of assets to deanship employees. The Department of Administrative and Financial Affairs comprises three units: the Administrative Affairs Unit, the Financial Affairs Unit, and the Asset and Inventory Management Unit.

 

Administrative affairs unit

The tasks of the administrative affairs unit can be summarized as follows:

  • Completing and managing administrative transactions within the deanship.
  • Tracking attendance and departure statements and forwarding them to the director of the financial and administrative affairs department.
  • Promoting work culture and implementing approved training programs to enhance the administrative and technical performance of the deanship's employees in coordination with the deanship's development and quality unit.
  • Monitoring employee requests for evaluation, leave, and directing work tasks and promotions.
  • Managing outgoing and incoming administrative transactions using the administrative communication system.
  • Circulating reports, archiving transactions, and managing incoming and outgoing correspondence for the deanship.

 

Financial affairs unit

The tasks of the financial affairs unit can be summarized as follows:

  • Coordinating and following up with relevant authorities within and outside the deanship to prepare the deanship's budget.
  •  Coordinating and monitoring procedures for receiving and handing over the covenant related to the deanship's staff.
  •  Tracking financial requests about the deanship's staff in accordance with established legal procedures.
  •  Preparing periodic and annual financial reports for the deanship.
  • Reviewing, auditing, saving, and archiving financial files and documentation related to contracting companies associated with the deanship of information technology.

 

Asset and inventory management unit

The tasks of the Asset and Inventory Management Unit can be summarized as follows:

  •  Managing all IT assets, which include software, hardware, equipment, and digital assets, through the Asset Management System.
  • Receiving technical assets provided by contracted companies through the Deanship of Information Technology or the university's warehouses, registering them in the Asset Management System, and storing them in the deanship's warehouses according to the university's approved systems and regulations.
  • Delivering technical equipment stored in warehouses to the relevant units within the deanship, following a specific organizational mechanism.
  • Conducting quarterly inventories of all assets stored in the warehouses and ensuring their accuracy in the Asset Management System.
  • Conducting an annual inventory of all technical assets and ensuring their accuracy in the Asset Management System.
